Business Challenge
While the organization had invested in modern workplace tools, employees increasingly turned to public AI platforms such as ChatGPT and DeepSeek to streamline everyday tasks—like drafting emails, summarizing documents, or interpreting HR and IT policies. This behavior, although productivity-driven, raised serious concerns around the unmonitored sharing of sensitive information.
At the same time, employees struggled to efficiently find answers within the company’s internal knowledge base, especially across sprawling repositories in SharePoint and other content management systems. This led to repeat queries to IT and HR teams, consuming valuable support resources and slowing down overall productivity.
Solution Deployed: Microsoft Co-Pilot Powered Employee AI Agent on Microsoft Azure
We engineered and deployed the Employee facing AI Agent—a secure, enterprise-ready assistant powered by Microsoft Azure LLM Services and Azure AI Search. Introducing secure LLM access—built for the enterprise. The solution is fully hosted in the customer’s Azure environment and integrated with internal systems to ensure complete control, security, and compliance.
With Azure AI Search, employees get fast and accurate document retrieval, enabling them to access relevant internal knowledge instantly—without relying on support teams or manual searches. This significantly improves efficiency and decision-making across the organization.
Combined with a token-based, pay-per-usage pricing model, the solution eliminates the need for costly per-user licenses. The organization pays only for actual usage—reducing costs, avoiding overprovisioning, and ensuring scalable, secure AI adoption on demand.
Architecture & Workflow
How It Works?
Query Initiation & Access Control
Employees submit queries via Teams, intranet, or mobile. The orchestration layer authenticates users through Azure Active Directory and applies access controls.
Vector Retrieval from SharePoint
Documents from SharePoint are chunked, embedded, and stored in a Vector DB. The system uses semantic matching to retrieve the most relevant content.
Response Generation with Azure LLMs
Azure-hosted LLMs generate accurate, context-aware answers based on the retrieved documents.
Enterprise Search (Azure AI Search + RAG)
The query is passed through an Enterprise Search stack using Azure AI Search to filter documents by metadata, and RAG (Retrieval-Augmented Generation) to pull semantically relevant results.
Role-Based Response Delivery
The final answer is tailored to the employee’s role and delivered back through their original channel.
